Voice agents for vacation guests: how AI takes the phone

Calls answered around the clock without you picking up — what a voice agent can really do for hosts (and what it can't).

It's 10:43 PM. A family is standing in front of your vacation rental, the key safe won't open, the WiFi password was in the email but the email is gone. They call you. You didn't pick up — you were at dinner.

The next morning you find six missed calls and a bad review. This exact scenario is why voice agents are quickly becoming standard in vacation rentals.

What a voice agent can do for your property

A voice agent is an AI-powered phone assistant that takes calls for you. It sounds like a human, answers in German (and many other languages), knows your property in detail, and works around the clock.

Concretely, it can:

  • Answer standard questions — WiFi password, key safe code, check-in time, address with directions, house rules, recycling.
  • Give recommendations — restaurant nearby, hiking trail, pharmacy, weather.
  • Check availability — if connected to Smoobu, it can see in real time whether dates are free.
  • Escalate — when the caller says certain keywords ("water damage", "smoke", "no power") or when a question is outside its scope, it forwards to you directly.
  • Send confirmations — after the call an SMS or email goes out with the key info.

What it cannot do (and shouldn't): seriously moderate complaints, resolve conflicts, negotiate individual special conditions. That's where humans come in — and that's exactly what escalation is for.

What a typical call looks like

From one of our real setups, lightly anonymised:

Guest: Hi, this is the Klein family. We just arrived but the key safe won't open.

Agent: Hi Klein family, no problem. What number did you enter last? — pause — OK, the code for the safe at Hafenstraße 14 is 4-7-2-9. After turning the dial, give it a firm push — the mechanism sticks sometimes. Working now?

Guest: seconds later Yes, thanks!

Agent: Great. The welcome booklet in the hallway has everything else — WiFi, recycling, local tips. Have a nice stay!

Duration: 38 seconds. The host didn't notice anything, and the family is in bed before you've even finished dinner.

Trust, privacy, transparency

Three points we always check on every setup — and you should check with any voice-agent vendor:

1. Transparency. The agent must make clear at the start of every call that it is an AI assistant. Without that announcement you, as the host, sit in a legal grey zone. In our setups this happens by default.

2. Privacy. Calls are processed encrypted. A data processing agreement (DPA) is signed with you as the host — without it you're not GDPR-clean. The platform choice decides whether processing stays in the EU; we check this with you before every setup.

3. Escalation path. On the guest's request — or on emergency keywords — the agent must always be able to forward to a human. If a vendor tells you "the agent can do it all" — be careful. Voice agents are help, not a replacement for human availability.

When it pays off

Rule of thumb:

  • Up to 15 calls a month — usually still doable yourself. Voice agent is comfort, not necessity.
  • 15–50 calls a month — voice agent pays off. You get your weekends back.
  • 50+ calls a month or multiple properties — voice agent isn't comfort anymore, it's mandatory. Otherwise calls become a full-time job.

Plus: every single missed inquiry on arrival day is potentially a bad review. Reviews follow you for years. The cost-benefit math is usually clearer than expected.
